Payline's Automatic Enrolment Solution

As the advert says, ‘Don’t ignore the Workplace Pension’ and as the staging dates for more employers move in to view it’s becoming harder and harder to do so. Here at Payline we certainly haven’t been ignoring the Workplace Pension…

Over the past 18 months we have developed procedures within our software that determine whether or not an employee needs to be enrolled in to the pension scheme whilst processing the payroll. This negates the need for any additional assessments by yourself or your pension provider. The appropriate employee and employer contributions will then be calculated meeting the agreed rules of the pension scheme. These contributions are then clearly shown on your payroll reports and your employee’s payslip.

The next stage of the process is to inform your pension provider of any newly enrolled members and the pension contributions deducted. Depending on the pension provider, this will either be two separate files or one combined upload file. We have been working closely with the majority of the main providers to enable our system to automatically create the required joiner and contribution files once the payroll has been finalised. These files are then either emailed to the client to be uploaded or uploaded directly ourselves. We have developed upload and joiner file formats for the following pension providers;

NEST, Now Pensions, The People’s Pension, Scottish Widows (AssistMe & reduced format), Friends Life, Source, Royal London, Aegon, Aviva, Legal & General and Standard Life.

To complete the process and to comply with The Pensions Regulator guidelines your employees must be kept fully informed of the actions you have taken with regards to their enrolment. We have incorporated the creation of generic notices – to be issued just prior to your staging date – and enrolment and non-enrolment notices – once your employees have been assessed. These notices are either emailed to a central location to be printed or forwarded or emailed directly to your employees’ inbox. Alternatively, we are able to provide you with editable Microsoft Word template letters for you to issue based on the employee status information that we will supply after each payroll.
